How Do I Set Up and Use Insertion Order Approvals in SoCast Reach?

The approval process for insertion orders (IOs) in SoCast Reach is an essential step in the campaign lifecycle. It ensures that all campaigns receive proper authorization before moving forward to campaign booking.

Who Can Approve Insertion Orders?

The ability to approve campaign insertion orders is controlled by a specific user permission. This permission should be assigned based on your organization’s workflow:

  • Sales Leaders: Typically have this permission by default and are responsible for approving IOs.
  • Enterprise Sales People & Campaign Managers: It is recommended that both Sales Representatives and Campaign Managers at the Enterprise level are granted approval permission.
    • Sales Representatives can approve IOs on behalf of advertisers.
    • Campaign Managers can make quick, in-flight campaign changes as needed.
  • Plus and Pro Sales People: For Plus and Pro clients, this permission should generally remain disabled for sales people.

What Is the Approval Workflow?

  1. Proposal Creation & Pitch: The sales person creates and presents a digital marketing proposal to the advertiser.
  2. Marking as Sold: Once the advertiser approves the proposal and the deal is closed, the sales person clicks the Mark Sold & Review Insertion Order button in the platform. This moves the campaign to the "Insertion Order Awaiting Approval" stage.
  3. Review and Approval:
    • If the sales person has approval permission: (Typically for Sales Leaders or Enterprise roles) They can review and approve the insertion order directly within the platform, allowing the campaign to proceed immediately.
    • If the sales person does not have approval permission: The designated Sales Leader receives a notification that an insertion order is awaiting approval. The Sales Leader must then log in, review the insertion order, and approve it before the campaign can move forward.

Following this process ensures that all campaigns are properly authorized and helps maintain a smooth workflow for your digital sales team.
